A step-by-step workshop to set up a WhatsApp AI assistant that answers customer questions, captures leads, and works after hours, using Meta's own free Business AI feature. Follow along and build it while you read.
The 11:30 PM message, and what we're building
It's 11:30 PM. A customer messages your WhatsApp: "Are you open tomorrow?"
You're asleep. You see it the next morning at 9 AM. By then, they've already messaged your competitor, gotten an instant answer, and booked with them instead.
This isn't rare. It happens every single day, to every business that relies on WhatsApp for enquiries, which in India is most small businesses. The problem isn't that you're slow to reply. It's that nobody can be awake 24 hours a day.
By the end of this workshop, you'll have an AI assistant on your WhatsApp that answers common questions, captures the customer's details as a lead, and knows exactly when to step back and let you handle things personally.
Before:
Customer → WhatsApp → You → Manual reply (whenever you next check your phone)
After:
Customer → WhatsApp → AI assistant → Instant answer or lead captured → You handle anything it can't.
What it will do:
Answer common questions (hours, pricing, services, location), recommend what you offer, capture a lead's name and contact info, and work 24/7, including after hours and weekends.
What it won't do:
Make up information you haven't given it, promise availability or discounts you haven't confirmed, or handle complaints and sensitive situations, those always go to you. Think of it as a very capable first responder, not a full-time replacement.

Important honesty note:
Meta launched this feature for small businesses in India in May 2026, and has been rolling it out gradually to eligible accounts since then. Most active WhatsApp Business accounts with a complete profile should have access by now, but if you don't see it yet, there's a fallback path covered later in this article. Don't skip ahead, prepare everything in this workshop either way, since the content you write works regardless of which path you end up using.
Step 1: Prepare your business info, then write the AI's instructions
Part A: Prepare your business information
What we're doing: Before touching any settings, write down everything the AI needs to know about your business. Why it matters: an AI is only as good as the information you give it. Skip this and it'll either give vague answers or make things up, which is worse than no AI at all.

Part B: Write the AI's core instructions
What we're doing: writing the master instruction that tells the AI who it is, what it can do, and what it must never do. This is the single most important piece of the whole setup, a vague instruction like "be helpful" produces an AI that guesses; a specific one produces an AI that's reliable.
Copy this:
You are the WhatsApp assistant for [Business Name], a [business type] located in [location].
Your job is to help customers by answering questions using ONLY the information provided below. Never invent prices, availability, or details that aren't listed here.
Business information: [Paste your completed business info template from Part A here]
How to respond:
Keep answers short and friendly, like a real person texting, not a formal email.
If you don't know the answer, say so honestly and offer to connect them with a team member.
If a customer wants to book or enquire further, collect their name, phone number, and what they need, then let them know someone will confirm shortly.
If a customer has a complaint, an urgent issue, or asks to speak to a person, immediately say you're connecting them with the team, do not try to resolve it yourself.
Never make promises about discounts, exact availability, or anything not explicitly listed above.
Your result:
A complete business info sheet and a copy-paste-ready instruction block that defines exactly how your AI assistant behaves.
Step 2: Build your FAQ brain, then see it in action
Part A: Build your FAQ brain
What we're doing: turning your most common customer questions into exact, ready-to-use answers. Real customers ask the same handful of questions over and over, nailing these means the AI handles the majority of your traffic correctly from day one.
Copy this pattern,
and list your own top 8-10 questions the same way:
Q: Are you open on Sunday?
A: Yes, we're open from 10 AM to 6 PM on Sunday.
Q: How much does [service] cost?
A: [Service] starts at ₹[price]. The exact cost depends on [what it depends on].
Q: Where are you located?
A: We're at [address]. Here's a map link: [link]
Q: Do you take walk-ins or do I need to book?
A: [Your actual policy here]
Part B: See how real conversations should flow
Before going live, here's what a good conversation actually looks like, five realistic examples:
Asking about hours
Customer: "What time do you close today?"
AI: "We're open until 7 PM today! Anything I can help you with?"
Asking about pricing
Customer: "How much for a haircut?"
AI: "A haircut starts at ₹300. Want me to check available slots for you?"
Asking about a specific service
Customer: "Do you do bridal makeup?"
AI: "Yes, we do! Packages start at ₹8,000. Would you like details sent to you, or should I connect you with our team for a quote?"
Asking to book
Customer: "I want to book for Saturday"
AI: "Great! Can I get your name and preferred time? I'll pass this to our team to confirm."
Asking something the AI doesn't know
Customer: "Do you offer home service in Wakad?"
AI: "That's a great question, let me connect you with our team so they can confirm the exact areas we cover."
Your result:
Your FAQ list, ready to add into your business information, and a clear mental model of what "working correctly" looks like.
Step 3: Add lead capture and human handoff rules
Part A: Add lead capture
Why it matters: an answered question is nice, a captured lead is a potential sale. This is the difference between an AI that's just polite and one that actually grows your business.
Copy this,
adding it right after your core instructions:
Whenever a customer shows interest in booking, buying, or getting a quote, collect the following before ending the conversation:
Their name
Phone number (if not already visible from WhatsApp)
What they're interested in
Their preferred date/time, if relevant
Once you have this, tell them: "Thanks! I've noted this down and someone from our team will confirm shortly."
Example of a captured lead:
Name: Priya Sharma
Interested in: Bridal makeup package
Preferred date: Next Saturday
Phone: (from WhatsApp)
Part B: Add human handoff rules
AI should never try to be the final word on a complaint, an urgent issue, or a high-value decision. This step protects your customer relationships.
Immediately hand the conversation to a human team member (by saying "Let me connect you with our team right away") if the customer:
Has a complaint or sounds frustrated
Asks something outside the information you've been given
Explicitly asks to speak with a real person
Has a complex or unusual request
Is ready to make a large purchase or final booking decision
Never try to resolve these situations yourself.
Your result:
Every serious enquiry now ends with information you can follow up on, and an AI that knows exactly when to step back, which is what makes it trustworthy instead of risky.
Step 4: Test it properly, then fix what's broken
Part A: Test it
Don't just "try it out." Run through this exact checklist and note what happens for each one:
What time do you open?" → Should give your real hours
"Are you open Sunday?" → Should match what you entered
"How much does [your main service] cost?" → Should quote your real price
"I want to book an appointment" → Should ask for name + contact + details
"Can I speak to someone?" → Should hand off immediately
Ask about something you don't actually offer → Should say it doesn't know, not guess
"I have a complaint" → Should hand off immediately, not try to resolve it
"I need help urgently" → Should hand off immediately
"Can you give me a discount?" → Should not invent a discount, should hand off or say it can't confirm
A completely unrelated question (e.g., "what's the weather today?") → Should politely redirect to what it can help with
Part B: Fix what's broken
Building AI isn't Prompt → Perfect Result. It's Build → Test → Find Problems → Fix → Test Again.
AI invents a price you never gave it
Instructions weren't explicit enough → Add: "If a price isn't listed above, say you'll confirm it rather than guessing."
AI gives a long, formal, robotic answer
No tone guidance was given → Add: "Keep every response under 3 sentences, like a real person texting."
AI tries to resolve a complaint instead of handing off
Handoff rule wasn't specific enough → Add the exact trigger words you noticed it missing, e.g., "unhappy," "refund," "angry."
AI captures an incomplete lead
Lead capture instruction wasn't explicit about requiring all fields → Add: "Do not consider a lead complete until you have name, contact info, AND what they need."
Your result:
A tested, working system with the specific fixes applied for your business.
Real business examples, and what the AI should never do
Real business examples
Dental clinic:
Patients message about timings and availability outside office hours. The AI answers clinic hours instantly, explains the consultation process, and captures name + preferred date. Result: fewer missed enquiries, front desk only handles confirmed bookings.
Salon:
Constant questions about services and pricing eat into staff time between clients. The AI answers instantly and captures leads for anything needing a custom quote (like bridal packages). Result: staff spend less time on WhatsApp, more time with clients.
Local home-service business:
Customers ask about service areas, pricing, and availability, often after hours. The AI confirms the basics and captures location + issue description as a lead. Result: no enquiry goes unanswered overnight, even if the final quote still needs a human.
These are illustrative workflows based on how the feature is designed to work, not measured results from a specific client, since real outcomes will vary by business.
What the AI should never do
Don't let it invent prices, discounts, or availability you haven't confirmed
Don't let it make promises on your behalf ("yes we can definitely do that by tomorrow")
Don't give it sensitive customer data it doesn't need
Don't rely on it for complaints or emotionally sensitive conversations
Don't let it answer confidently when it genuinely doesn't know, "I'll check and confirm" is always better than a guess

Free:
Meta's Business AI feature itself, it's built directly into the WhatsApp Business app at no cost, as confirmed in Meta's own May 2026 announcement. Everything you prepared in this workshop is also free.
Optional/paid:
If your account isn't yet eligible for Meta's native feature, third-party platforms (such as AiSensy, Interakt, or Wati) offer similar no-code AI setup on top of WhatsApp, but these run on paid monthly plans. Pricing on these changes often, check their current plans directly before committing.

Do I need coding knowledge?
No. Meta's Business AI is built directly into the WhatsApp Business app with a guided setup, no code required.
I don't see 'Your Business AI' in my Tools tab, what do I do?
Make sure your business profile is fully completed first, that often affects eligibility. If it's still not available, a third-party WhatsApp automation tool (mentioned above) is the practical alternative, and everything you prepared in this workshop works there too.
Is this really free?
Yes, Meta's native Business AI feature has no cost. Third-party alternatives are paid.
Can it reply in regional Indian languages?
Yes, Meta has confirmed the feature works in native Indian languages, not just English.
Can I connect it to my calendar for bookings?
The native feature captures booking requests as leads for you to confirm manually. Full calendar auto-booking is more of a third-party-tool capability.
Can I use my existing WhatsApp Business number?
Yes, this works with your existing WhatsApp Business app and number.
What happens when the AI doesn't know an answer?
If you've followed the instructions in this workshop, it should say so honestly and hand the conversation to you, rather than guessing.
