How to build your first AI Employee: A practical step- by-step guide

How to build your first AI Employee: A practical step- by-step guide

If you've used ChatGPT before, you've probably done this.

You open a new chat, explain what you need, get an answer and move on.

The next day, you do it all over again.

You explain your business again.

Your audience again.

Your writing style again.

Your goals again.

It works, but it's not efficient.

Now imagine hiring a content strategist and asking them to

introduce themselves every morning before they start work.

It wouldn't make much sense.

That's the difference between using ChatGPT and building an AI Employee.

An AI Employee has a specific job. It understands your business, follows your way of working and improves as you give it better instructions.

In this guide, you'll build your first AI Employee. A Content Strategy Assistant. Using ChatGPT. Along the way, you'll create a few simple documents that you can reuse for every future AI Employee you build.

By the end of this guide, you won't just understand the concept. You'll have an AI Employee that's ready to help

you create better content.

Let's get started.

What is an AI employee?

People often describe ChatGPT as an assistant. I don't.

An assistant waits for instructions.

An employee takes ownership of a role.

That's the mindset shift I want you to make before we go any further.

Your AI Employee isn't just there to answer questions. It's there to perform a specific job inside your business.

For this guide, that job is creating and improving content. Instead of asking random questions every day, you'll build an AI Employee that understands what it's responsible for and approaches every task with the same context.

Once you've built one AI Employee, you can use the same process to create others for marketing, sales, research, customer support or operations. You're not learning a one-time trick.

You're learning a framework you can use again and again.

Workshop (2 minutes)

Before we continue, open ChatGPT and start a new conversation.

This conversation will become your Content Strategy Assistant.

Don't worry about prompts yet. We'll build everything step by step.

Before you move on

You should have a fresh ChatGPT conversation ready.

In the next section, we'll decide exactly what job this AI Employee is responsible for.

Choose one job

Here's one of the biggest mistakes people make. They try to build one AI that writes content, replies to emails, analyses competitors, creates marketing campaigns and answers customer questions.

It sounds efficient.

In reality, it creates confusion. If you hired a new employee tomorrow, you wouldn't ask them to do five different jobs on day one.

Your AI Employee deserves the same focus. Start with one responsibility.

Master it.

Then build another AI Employee for the next role.

For this guide, we're building a Content Strategy Assistant.

Its job is simple:

Help research, plan and improve content that attracts the right audience. That's it.

The clearer the role, the better the results.

Workshop (5 minutes)

Create a new document called AI Employee Role.

Answer these three questions.

What is the job title?

Content Strategy Assistant

What is its primary responsibility?

Write one sentence that describes the role.

What should it never do?

List a few tasks that belong to someone else, such as customer support, accounting or legal advice.

Don't overthink it. Keep it simple.

Before you move on

You should now know exactly what your AI Employee is responsible for and just as importantly, what it isn't.

Next, we'll turn that role into a real employee.

Create your AI employee profile

So far, you've decided what your AI Employee does.

Now it's time to define who it is.

Here's a mistake I see people make all the time.

They open ChatGPT and immediately start writing prompts.

That's like hiring a new employee and asking them to start work before they've been introduced to

the company.

Before your AI Employee creates a single piece of content, it should know:

• Who it is

• Why it exists

• What it's responsible for

• What good work looks like

• How it should communicate

That's exactly what your AI Employee Profile will do.

Think of it as the first document every new employee receives on day one.

It doesn't need to be long. In fact, the simpler it is, the easier it will be to improve later.

Workshop (5 minutes)

Create a new document called AI Employee Profile.

Add the following sections and use the example below as a reference.

Employee Name

Choose a name based on the role, not a person's name.

Example

Content Strategy Assistant

Mission

Describe why this AI Employee exists in one sentence.

Example

Help me research, plan and improve content that attracts startup founders and business owners.

Responsibilities

List the work this AI Employee owns.

Example

  • Brainstorm content ideas

  • Create blog outlines

  • Suggest SEO improvements

  • Repurpose existing content

  • Build monthly content calendars

Success Criteria

How will you know it's doing a good job?

Example

  • Content is practical and easy to understand.

  • Ideas are original.

  • The writing matches my brand voice.

  • Every response is actionable.

Communication Style

Describe how it should communicate.

Example

Human

Conversational

Practical

Clear

Friendly

Professional

Confident

Action-oriented

Now replace each example with information about your own business.

Keep your answers short. You'll improve this profile as your AI Employee learns more about your

business.

Before you move on

You should now have a completed AI Employee Profile.

Your AI Employee now knows who it is.

Next, let's introduce it to the business it works for.

Build your Company Brief

Imagine a new employee joins your company tomorrow.

Before giving him his first task, you'd probably spend some time explaining the business.

What do we do?

Who do we help?

What makes us different?

What are we trying to achieve?

Your AI Employee needs the same context.

Without it, ChatGPT has to make assumptions. Sometimes those assumptions are right. Most of the

time, they're not.

That's why every AI Employee should have a Company Brief.

Think of it as a quick introduction to your business. It gives your AI Employee the context it needs

to make better decisions every time you work together.

Workshop (10 minutes)

Create a new document called Company Brief.

Use the following template as a starting point.

Business Name

Example

Example

Example

Business Goals

Example

Once you've completed each section, save the document.

This Company Brief will become one of the most valuable resources you'll use when building

future AI Employees.

Before you move on

By now, you should have three completed documents:

  • AI Employee Role

  • AI Employee Profile

  • Company Brief

Your AI Employee now knows what it does, who it is, and where it works.

Next, you'll teach your AI Employee how to work by creating an Operating Manual and bringing everything together in a single Master Prompt

Create your AI employee's

Operating Manual

Your AI Employee now knows who it is and where it works.

But there's still one important question left.

How should it actually do the work?

Imagine you hire a new content writer.

You wouldn't just say, "Write a blog."

You'd explain how your team writes.

Maybe you'd say:

  • Keep the language simple.

  • Avoid technical jargon.

  • Use real examples.

  • Write short paragraphs.

  • Don't sound overly promotional.

These aren't company details. They're your working preferences.

Your AI Employee needs them too. That's what an Operating Manual is.

It tells your AI Employee how to approach every task before it starts working.

The good news is that you don't have to write pages of instructions. A simple one-page document is

more than enough.

Workshop (10 minutes)

Create a new document called Operating Manual. Copy the structure below.

Later, you'll replace these examples with your own preferences.

Writing Style

Example

  • Write in simple English.

  • Keep paragraphs short.

  • Explain ideas with practical examples.

  • Avoid technical jargon.

  • Write like you're talking to another founder.

  • Be confident, but never arrogant.

Structure

Example

  • Start with the problem.

  • Explain the concept.

  • Show a practical example.

  • End with a clear takeaway.

Things to Avoid

Example

  • Don't use buzzwords.

  • Don't sound robotic.

  • Don't over-explain simple ideas.

  • Don't repeat the same point.

  • Don't write long introductions.

Formatting

Example

  • Use headings.

  • Use bullet points.

  • Keep sentences easy to scan.

  • Highlight important ideas.

Review your Operating Manual

Before moving on, ask yourself:

  • Does this sound like the way I want content to be written?

  • Would I give these instructions to a real employee?

If the answer is yes, you're done.

Before you move on

You now have four documents:

  • AI Employee Role

  • AI Employee Profile

  • Company Brief

  • Operating Manual

In the next step, you'll combine all four into one complete AI Employee.

Build your Master prompt

You've spent time creating four documents.

Now it's time to put them to work.

Think of your Master Prompt as an employee's onboarding pack.

Instead of explaining your business every time you open ChatGPT, you'll give it everything it needs

in one place. The best part?

You don't have to write this prompt yourself.

Simply copy the template below and replace the example text with the documents you've already

created.

Workshop (10 minutes)

Open ChatGPT and start a new conversation.

Copy the template below into the chat.

Replace each placeholder with the document you've already created. You are my AI Employee.

Your job title is:

[Paste your AI Employee Role]

This is your Employee Profile:

[Paste your AI Employee Profile]

This is my Company Brief:

[Paste your Company Brief]

This is your Operating Manual:

[Paste your Operating Manual]

Whenever I give you a task:

  • Follow the Operating Manual.

  • Keep the writing consistent with my brand.

  • Ask questions if you need more information.

  • Never make assumptions about my business.

  • Always explain your reasoning when appropriate.

Once you've pasted everything, send the message.

Congratulations!

You've just onboarded your first AI Employee.

Before you move on

Your AI Employee is now ready to receive its first task.

Let's see how it performs.

Test your AI employee

Here's another mistake I see people make. They ask ChatGPT one question.

The answer isn't perfect. They immediately start a new chat. Imagine doing that with a real employee. Instead of giving feedback, you fire them after their first task.

That wouldn't make much sense. Your AI Employee learns in the same way.

You give it work.

Review the result.

Give feedback.

Improve it.

Let's try that now.

Workshop (15 minutes)

Use your new AI Employee for three simple tasks.

Test 1

Paste this into ChatGPT: Give me five blog ideas for my business.

Look at the response.

Ask yourself:

  • Are these ideas relevant?

  • Do they match my audience?

  • Would I actually write about these topics?

Test 2

Now type: Create an outline for Blog Idea #1.

Review the outline. Does it feel organised? Does it follow the writing style you want?

Test 3

Finally, type: Write the introduction for this blog.

Read it carefully. Does it sound like your brand? Or does it still sound like generic AI writing?

If something doesn't feel right, don't start over.

Give feedback.

For example:

Rewrite this in a more conversational tone.

Use shorter paragraphs.

Add practical examples.

Write for startup founders instead of a general audience.

You'll notice the response improves with every round of feedback.

That's exactly how you train an AI Employee.

Before you move on

If you've completed all three tests, you've done something most people never do.

You haven't just used ChatGPT.

You've built an AI Employee with context, clear instructions and a repeatable way of working.

What's next?

Take a moment to look at what you've created.

You now have:

  • An AI Employee Role

  • An AI Employee Profile

  • A Company Brief

  • An Operating Manual

  • A reusable Master Prompt

More importantly, you have a process you can repeat.

The next time you want an AI Employee for customer support, sales, marketing or research, you

don't need to start from scratch. Just follow the same steps.

One final piece of advice. Don't try to build ten AI Employees this weekend.

Build one. Use it regularly.

Improve it. Once it becomes genuinely useful, build the next one.

That's how small systems turn into powerful workflows.

Congratulations. You've built your first AI Employee.

Building your first AI Employee doesn't have to be complicated. If you get stuck at any step, feel free to reach out. I'm happy to help.
